Managing the users and administrators of your WERCSmart account


This article provides a detailed guide on managing users and their roles in your WERCSmart account. This includes inviting, removing, and updating users to ensure smooth account management and security.

Roles

There are three different roles within WERCSmart. 


Administrator 

There is only one administrator allowed per account. The administrator can: 

  • Invite users to join the account.
  • Approve/Reject/Resend invitations or requests to join the account. 
  • Update/Change roles of account participants.
  • Update any account participant's Title and Phone details.
  • Make another person on the account the Administrator, giving up the Administrator role for themselves. 
  • Initiate Reset Password links for account participants. 
  • Clear and Transfer Shopping Carts for any person on the account. 


Power User 

An unlimited number of Power Users is allowed per account. A Power User can: 

  • Update/Change roles of account participants. 
  • Update any account participant's Title and Phone details.
  • Toggle a user's status between approved and rejected.
  • Initiate Reset Password links for account participants.
  • Clear and Transfer Shopping Carts for any person on the account.


User 

An unlimited number of Users is allowed per account. A User can: 

  • Update only their own Title and Phone details. 
  • Initiate Reset Password links for themselves. 
  • Clear their own Shopping Cart. 
  • No subscription details access. 




How to invite a user or power user to your account

Only administrators can add new users. 


Step 1: Navigate to My Account 

  • Log in to WERCSmart. 
  • Click on your name in the top right corner.
  • Click on My Account.
  • Next to the 'Your Company User Accounts' section, click on Invite New User.


Step 2: Enter User Details

  • Enter the information for the new user.
    • For the 'WERCSmart Role' field, see the section above for role definitions. 
  • Click Send Invite
    • The user will receive an email notifying them they have been added to the WERCSmart. This email will include a link to respond to the invitation. 


Note: If the user's email already exists in the system, you will be notified and may cancel the invitation. This could indicate that this person has established a separate WERCSmart account. We recommend reviewing the separate accounts with that person to determine if merging the accounts is necessary. For any account merger requests, please contact Customer Support.




Managing Invitations

View and manage user invitations in the Company User Accounts table. 


Step 1: Navigate to My Account 

  • Log in to WERCSmart. 
  • Click on your name in the top right corner.
  • Click on My Account.
  • See the 'Your Company User Accounts' section


Step 2: User Table Filters 

  • Approved: shows all approved users.
  • Rejected: shows users who attempted to join your organization using the same domain but were rejected by the administrator.
  • Invited: shows outstanding invitations awaiting a response.
  • Invite Expired: shows invitations that must be resent because the link expired before the user accepted.
  • Requested by User: shows users who have created an account using your organization's domain. The administrator will be notified by email and can either approve or reject users here. 


Step 3: Use Actions to Manage Users 

  • Find the user within the table 

  • In the 'Actions' column to the right, select the three dots
    • View User Details
    • Approve or Reject requests 
      • The user will receive an email notifying of either action.
    • Resend Invites 




How to remove a user or power user from your account

An account can have an unlimited number of users and power users.  

  • Only the administrator can remove other users.
  • We recommend deactivating all account members who no longer handle WERCSmart registrations or have departed from your organization. 
  • To ensure the security of your product data, including ingredients, it is advisable to manage user access carefully and avoid sharing usernames and passwords.


Step 1: Navigate to My Account 

  • Log in to WERCSmart. 
  • Click on your name in the top right corner.
  • Click on My Account.
  • In the 'Your Company User Accounts' section, find the line with the user's username and email address.


Step 2: Remove the user

  • Under the 'Actions' column, click on the three dots.
  • Click Deactivate.
  • Click Approve in the pop-up window to confirm the action.




How to update the administrator of your account

An account can only have one administrator.

  • Only the current administrator can make another person on the account the new administrator, giving up the administrator role for themselves.


Step 1: Navigate to My Account 

  • Log in to WERCSmart. 
  • Click on your name in the top right corner.
  • Click on My Account.
  • Under the 'My Account' section, select Company Information.


Step 2: Edit company information

  • In the box showing your company name and address, click Edit in the top right corner.
  • Update the fields Contact and Contact Email to match the information of your desired Administrator.  
  • Click the green Save button in the top right corner.
