Third-Party Registration process for ingredients in WERCSmart


The Third-Party Registration process is designed to create a mixture ingredient, which means it consists of two or more components. 


If your product includes an ingredient sourced from another entity (such as a formulator) outside of your organization, you will need to collaborate with your supplier. Request that they register their proprietary formulation in WERCSmart using their own WERCSmart account.

Overview 

When you have a blend from another source, such as colorants, fragrances, pigments, or polymers, we suggest contacting your ingredient provider immediately. Let them know you need them to create a WERCSmart registration for that ingredient. 


They may already have registered the ingredient; if so, ask them to provide you with the WPS and access codes. 


If they have not registered the ingredient yet, ask them to follow the steps below.



How a Forumulator can create a Third-Party Registration

Step 1: Create an account

The formulator should create a WERCSmart account if they do not already have one. 

  • Note: They do not need to subscribe (submit payment) to complete a Third-Party formula registration.


Step 2: Start a new registration

After logging into their WERCSmart account, click the beaker icon in the left sidebar. To register the ingredient as Third-Party, they must select:

  1. Under New Product Options
    1. Select Create Formulated Registration.
  2. Under Type of Product
    1. Type and select Mixture, Blend, Formula, Polymer or Solution from Third (3rd, 3d) Party.


Step 3: Complete the rest of the registration.

The formulator will then provide ingredient details during registration. 

  • This information remains confidential and will not be shared with you, the primary supplier. 
  • The formulator can restrict access to the ingredient (see Formulation Restriction section below for more information) and then submit the registration to the shopping cart. 

They must go to the shopping cart to finalize their order, even though a subscription (payment) is not required.


Note: Once a formula is submitted, it cannot be updated. If the ingredients or percentages change, the formulator must complete a new registration. The formulator should inform their customers so that they can update their registration and resubmit it for assessment.



Adding a Third-Party Ingredient to your Registration

Once we receive the data, we will set up the formula as an ingredient in the WERCSmart system. 

  • We will notify the formulator when this is ready, and they will then contact you, the primary supplier, to provide the WPS code. 
  • This code will serve as your product's CAS number and will be in the format 'WPS' followed by seven digits (e.g., WPS1234567).


If the formulator has restricted the ingredient's use, you may need to enter an authorization code as well. The formulator can give you that code after the ingredient is registered successfully.



Formulation Restrictions

The Formulator will select a restriction level for each registration from the options below:

  • Restrict: Companies within WERCSmart must contact the organization that registered the formulation to obtain an access code, which is necessary to use the formulation in their registrations.
  • Do Not Restrict: The formula is searchable within WERCSmart and does not require an access code. All companies using WERCSmart will have access to this formulation.
  • Exclusive Use: This formula is designated exclusively for the account of the Third Party Formulator. Any other accounts within WERCSmart should not use it. Only choose this option if your company is the sole user of the formulation, and no other companies require it for their registrations.


The formulator can update the restriction settings for the Third-Party Registration after submitting the registration.

  • To update your restriction status, contact Customer Support by submitting a ticket
  • This will start the recertification process for the registration. For more information on updating registrations, please see How do I update my product?


Confidentiality regarding formulations is essential when using the WERCSmart system. By adhering to this process, both the formulator and the primary supplier can successfully register the necessary data, allowing WERCSmart to provide an assessment report to the specified recipient of the product and UPCs.
